WhatsApp group or order page for tiffin orders?

When a group chat works, and when orders start slipping through.

Short answer

Should tiffin orders come in a WhatsApp group or an order page?

A WhatsApp group is fine for a handful of customers who know each other. As you grow, orders get lost in chat, counting takes longer and every member sees everyone's number. An order page gives each order its own entry and number, keeps numbers private, and gives you one count to cook.

Why do so many kitchens start with a group?

Because it is free, everyone already has WhatsApp and it takes one minute to set up. You post the menu, people reply "yes", and you cook. For a few customers, it works well.

The trouble starts slowly. One day a customer says they ordered, but you never saw it. Another day you count the replies three times and still get a different number. That is the moment to look at other ways.

What goes wrong when orders live in a group?

Most problems come from one thing: orders and normal chat are mixed together. A "good morning" photo, a question about yesterday's dal and three orders all arrive in the same minute.

  • An order sent late at night is buried under the next morning's messages.
  • Someone writes "same as yesterday", and you have to scroll back to find what that was.
  • A customer cancels by replying to an old message, and you miss it.
  • Two people with similar names order, and you are not sure who is who.
  • At month end, you scroll for an hour to count how many boxes each person took.

None of this is anyone's fault. A group chat was made for talking, not for keeping orders. As the number of customers grows, the time you spend counting grows with it.

What about customers' privacy?

In a group, every member can see every other member's phone number and name. Some customers do not mind. Others, especially women living alone or older customers, may not like strangers seeing their number.

If you keep a group, consider making it an announcement-only group or a broadcast list, so you post the menu and people reply to you privately. That keeps numbers out of sight and the chat clean.

It also protects you. When a customer leaves, they stay in the group unless you remove them, and they can still see who your other customers are. With private orders, your customer list stays yours.

When is a group still a good choice?

  • You have only a few customers and they know each other, for example one office team.
  • The same people eat the same meal every day, and changes are rare.
  • You use the group only to share the menu, and orders come to you in private messages.

A group is a good place to share news, a festival menu or a holiday notice. It is a weak place to keep orders and money. If your group works today, there is no need to change it today; just watch for the first missed order and the first long evening of counting.

How does an order page work for customers?

You share one link. The customer opens it on any phone, sees your menu and price, and taps to order. They type their name and address once. Then they send the order to your WhatsApp as a ready-written message, so you still talk on WhatsApp, just with clear orders.

What a ready order message can look like (example)
Hi! My order K7QM for tomorrow:
2 × Lunch box
Name: Ana
Deliver to: Flat 4, Green Road
Note: less spicy please

How do you move customers from a group to a page?

  1. Tell everyone a week ahead, with the reason: fewer missed orders.
  2. Post the link with tomorrow's menu, and pin it.
  3. For a week, accept both. Gently reply to group orders with the link.
  4. Then turn the group into announcements only.

Common questions

Will customers find an order page harder than a WhatsApp group?

Most find it easy if the page is simple and opens from WhatsApp. Send the link with a one-line note on how to order. For older customers, you can take their order by phone and add it yourself.

Can I keep my WhatsApp group after moving to an order page?

Yes. Many kitchens keep the group for news and the daily menu post, but turn it into an announcement-only group. Orders then go through the link and come to you privately.
