Why do polite reminders work better than waiting?
Most customers who pay late are not trying to avoid paying. They forgot, they were waiting for their salary, or they thought they had already paid. A short message on time solves most of these cases without any awkwardness.
Waiting makes it harder. After a few weeks the amount is bigger, you feel uncomfortable asking, and the customer feels embarrassed. A calm reminder at the right moment protects both your money and the relationship.
When and how often should you remind?
- A few days before the due date: a friendly heads-up with the amount.
- On the due date: a short note that today is the day.
- About a week after: a polite follow-up, with a date to pay by.
- After that: a phone call or a quiet word at delivery, not more messages.
Send reminders in the morning or early evening, not late at night. Send them to the customer alone, never in a group. And leave a few days between messages: daily reminders feel like pressure, even when the words are polite.
What should an English reminder say?
Copy these and change the words in brackets. Keep the amount and the month in every message, so there is no confusion about what is due.
What should a Hindi reminder say?
The same five messages in simple Hindi. Many customers find a message in their own language warmer and easier to answer.
How do you keep the tone friendly?
- Start with their name and a greeting. It reads as a person, not a bill.
- Give the exact amount and the month. Vague messages invite questions.
- Offer the ways to pay, and your UPI ID if you use one.
- Leave a door open: 'if anything looks wrong, tell me'. Sometimes you made the mistake.
- Say thank you every time money arrives, even when it was late.
What if a customer still does not pay?
After two or three reminders, stop messaging and talk. A short call or a word at delivery often explains the delay: a family problem, a lost job, a mix-up. You can agree on a smaller amount now and the rest later, or pause their tiffin until the account is clear.
Decide your rule in advance and tell every new customer, for example: 'the tiffin pauses if a month is unpaid by the 10th'. A rule you said at the start is much easier to follow than one you invent when you are upset.
HomeTiffin shows who owes and since when, and its Remind button opens your own WhatsApp with a ready-written message to that customer. The app's reminder is in English today, so you can paste one of the Hindi messages above instead. See payments and dues and the guide how to collect tiffin payments on time.
